Pricing & Payments
How much do you charge?
We charge a flat fee per hire based on role level and scope. You can use our Pricing calculator to get a quick estimate and compare it with typical agency fees. For an exact quote, we confirm the role level and scope in a short meeting.
Do you charge commission or a percentage of salary?
No. Whitecollars is flat fee — no commission and no percentage-based pricing.
Do you offer discounts for multiple hires?
To launch sourcing and vetting, we take a 50% refundable deposit after the kick-off call. This allows us to allocate sourcing and vetting resources immediately.
What is the 50% refundable deposit?
The deposit is refundable in either of the following cases:
- If we don’t deliver the first batch of candidates within the agreed timeline.
- If we’re unable to deliver qualified candidates that match the agreed must-haves and success criteria for the role.
When do we pay the 50% deposit?
You pay the 50% deposit once the contract is signed, so we can begin sourcing and vetting immediately.
When do we pay the remaining 50%?
You pay the remaining 50% once you decide to extend a job offer to a candidate introduced by Whitecollars.
Are there any hidden fees?
No. Your pricing is agreed upfront. There are no commission add-ons or surprise charges.
Process & Delivery
How does Whitecollars work?
We run a structured, end-to-end process: kick-off meeting → global sourcing → 3-layer vetting → vetted shortlist (with insights + recordings) → interview coordination → hire.
What happens in the kick-off meeting?
We align on role requirements, success criteria, must-haves, salary range, timeline, target markets, and time zone preferences. This ensures sourcing starts focused and fast.
How fast will we receive candidates?
For most standard roles, you typically receive the first vetted candidates within 7–10 days. For hard-to-fill or niche positions, the timeline may extend to around 20–25 days, depending on the profile and market availability.
Will you keep sending candidates until we hire?
Yes — after we deliver the first batch, we immediately continue working on the next batch so you don’t lose momentum or restart from zero. If you don’t hire from the first batch, we refine the search based on your feedback and deliver a second batch. From there, we review results together and keep improving the selection criteria and sourcing approach, delivering additional batches until the role is filled.
Do you help with interview scheduling?
Yes. We coordinate interview scheduling and candidate communication to remove admin workload from your team and keep hiring momentum strong. If your process includes assessments or tests, we can also manage and run them on your behalf — and integrate them smoothly into the overall selection process.
Do you work with us on Slack or Teams?
Yes — we like to stay close to our clients. Most of our clients use Slack, so we usually set up a dedicated shared channel to keep communication, feedback, and scheduling fast and organised. If you use Microsoft Teams (or another communication tool), we’re happy to work there instead. Whatever you use — just add us in, and we’ll be there.

Yes. We support remote, hybrid, and on-site hiring depending on your requirements and target markets.
Can you hire candidates in our time zone?
Yes. Time zones are part of the kick-off alignment, and we prioritise candidates who match your working hours and collaboration needs.

What is your vetting process?
We use a structured 3-layer vetting process designed to prioritise quality: initial screening, a technical evaluation conducted by a subject matter expert, and a fit/personality assessment to ensure candidates match both the role and the team environment.

Yes. Technical fit is evaluated through a structured, role-specific assessment led by a subject matter expert, based on the must-haves and success criteria agreed during the kick-off.
How do you assess cultural fit?
We assess communication, mindset, work style, and role behaviours to ensure candidates align with your team dynamics, expectations, and pace — not just the job description.
What do we receive in the shortlist?
You receive a vetted shortlist that includes CVs, comprehensive interview insights, and video interview recordings, so your team can review faster, align internally, and interview only the best matches.
How many candidates will we receive?
It depends on the role and market, but we focus on quality over volume. You’ll receive an initial batch, and if needed we continue with additional batches based on your feedback until the position is filled.
Replacement Guarantee
Do you offer a replacement guarantee?
Yes. Every hire is backed by a replacement guarantee of up to 12 months, so you can hire with confidence and reduce long-term risk.
What does the replacement guarantee cover?
If a hire doesn’t work out within the agreed guarantee terms, we’ll run a replacement search based on the same role requirements and success criteria.
Do guarantee terms vary by role?
Yes. Guarantee terms can vary depending on role type and seniority, and they are confirmed clearly before the search begins.
